List Rentals & Booking.

The ↗ List Rentals & Booking tab is where you can add and manage all of your rentable and bookable products. There are 4 sub-sections of this tab which can be accessed at the top of the page: ↓ All Bookable Products, ↓ Manage Bookings, ↓ Booking Assets and ↓ Google Calendar.

All Bookable Products

On the ↗ All Bookable Products page, the product table displays all of the basic product information, such as the title, product status, stock status, price and discount price, if any. You can quickly view products according to their product or stock status, and you can filter the products in the product table according to their category. Just select the appropriate option from the drop-down menu and click Filter. You also have the options to search for products using the search box, and perform bulk actions to selected products. Click Add new bookable product to create a new product listing. For more detailed instructions on creating bookable products, read this article.

When you hover over a product in the product table, additional product options are displayed: edit, delete permanently, duplicate and view. To edit a product, you can click the name of the product, or click the Edit button. This will allow you to edit all of the product listing details and configure all of the product listing settings. To delete a product listing, simply click Delete Permanently. Clicking Duplicate will create a new, but very similar, product listing – this is helpful if you would like to add a new product listing that is similar to an existing listing. If you click View you will be taken to the product listing page to view the product listing, as if you were a customer.

Manage bookings

The ↗ Manage Bookings page will display any bookings that you may have. If you have configured a bookable product to require confirmation, you will be able to click the confirm button in the action column.

Booking Assets

The ↗ Booking Assets page will display all of your global resources (which can be attached to a single or multiple products) and their availability. Assets are mostly used to manage staff members that have their own working schedule and hourly rates. Bookings are assigned to the staff according to their availability, which ensures there are no double bookings. This section allows you to define assets, their availability and cost. The assets can then be assigned to bookable products in the “Booking assets” section when creating the product listing. Before creating and assigning assets, it is important to know when to use them. Here are a few examples:

  • When you provide services that have variable prices and availability

For example, your three pet sitters could be available on different days of the week and also may have different prices. Creating an asset for each pet sitter will allow customers to choose a specific pet sitter, and then they will see the cost and availability for that particular pet sitter.

  • When you provide different types of equipment for rentals bound by the quantity

For example, you might want to rent 10 motorbikes with a 500 cc capacity and 15 motorbikes with 300 cc capacity. In which case, you can create two assets based on the engine capacity and set a quantity for each one of them.

  • When you provide bookings for the same service or product, but in different durations which cannot be handled in one calendar.

For example, you provide rentals for 4 hours and 12 hours for the same equipment. You would then need to create a common asset assigned to two product listings that each have different durations. So when one product is booked, the corresponding time on the other product is unavailable (due to the asset being unavailable).

  • When you provide multiple services bound by your availability

For example, you cannot style one customer’s hair at the same time that you are providing another customer with a head massage. In this case, you have to use assets to set up different services, such as hair styling and head massages. So when one service is booked, other services would not be available at the same time.

Before you can add assets to your bookable product listings, you need to create them. How to create an asset:

  1. Log into your ↗ Vendor dashboard.
  2. Click the Listing Rentals & Booking tab on the left menu.
  3. Click the Booking Assets sub-section menu tab at the top of the page.
  4. Click the Add button in the Asset table.
  5. Enter the Asset Name.
  6. Enter the Asset Quantity. This quantity is the number of times an asset is available.
  7. Click Save changes.

Now that you have successfully created an asset, you need to set availability rules before you can add the asset to a bookable product listing. The rules can be used to set whether an asset is available, or unavailable, for a certain period. If you would like to set the asset as unavailable, simply select No from the “Bookable” drop-down menu. How to set an asset’s availability:

  1. Log into your ↗ Vendor dashboard.
  2. Click the Listing Rentals & Booking tab on the left menu.
  3. Click the Booking Assets sub-section menu tab at the top of the page.
  4. Click the Add button in the Asset Availability table.
  5. Select the name of the asset from the drop-down menu.
  6. Set the availability range type.
  7. Now set the “From” option in order to make the asset available/unavailable, after a certain duration.
  8. Then set the “To” option in order to make the asset available/unavailable, before a certain duration.
  9. Lastly, select yes or no from the Bookable drop-down menu to define whether the asset is available or unavailable, based on this rule.
  10. Click on Save Changes.

Once you have created an asset and set its availability, you can assign it to a bookable product by following these instructions.

Note: Don’t get confused! “Assets” and “Resources” are similar, but they are used for different reasons. Assets are mostly used to manage staff that are assigned to a bookable product, whereas resources are additional products or services offered with booking. Learn more about resources here.

Tip: Each staff member won’t be automatically notified regarding their bookings – it is up to you to manage them. However, you can add them as a staff member (not only as an asset) in your Vendor dashboard to allow them to log into their own personal dashboard to manage bookings. Read more here.

 

Google calendar

The ↗ Google Calendar page will display options for allowing you to integrate your bookings with a Google Calendar. Your bookings will then display on your calendar, wherever you are.
